OVERVIEW OF THE POSITION


The Philanthropic Services Administrator will coordinate administrative and technical support for fund administration and the delivery of philanthropic services.

PRIMARY RESPONSIBILITIES 

1.  Provide technical fund administration support:

  • Create and maintain centralized fund agreement templates and files
  • Manage the new fund set up process and related communications.
  • Support all aspects of Donor Advised Fund maintenance as well as maintenance of other fund types as needed.
  • Accurately prepare and deliver investment performance reports and fund statements in a timely fashion.
  • Ensure data base integrity (including both electronic and physical fund files) and provide continued maintenance.
  • Assist with planned gift administration in partnership with the Philanthropic Services Advisor.

    2.  Support grant administration activities:

    • Assist with the Donor Advised grant entry as directed by the Philanthropic Services Associate.

    3.  Customer Service

    • Provide technical support to Donor Advisors accessing our on line portal (Donor Web).
    • Respond to donor inquiries regarding grant status.

    4.  Support general administrative activities:

    • Participate in cross departmental work teams, including but not limited to the User’s Group.
    • Support the activities, meetings, and grant making for the Donor Advisor Committee and Family Fund advisory boards.
    • Build mailing lists using core business software and manage large mailings for the department.
    • Provide research on an as need basis on our current donors and prospects.
    • Maintain written procedures appropriate to each area of responsibility.
    • Serve as back up for Philanthropic Services Associate and Administrative Assistant as needed.

    MINIMUM QUALIFICATIONS  

    • Associate degree or equivalent required and a combination of five years’ experience with administrative processes and customer service.
    • Business technology skills, including the ability to operate business machines and adeptness with a number of computer software applications including Word, Excel, and Outlook.
    • Internet research skills, including knowledge of the leading search engines and online charity databases.
    • Ability to communicate effectively, both verbally and in writing, with various audiences.
    • Attention to detail and ability to work with minimal supervision following accepted procedures/protocols.
    • Ability to prioritize and complete work in a timely fashion with a high degree of accuracy while adapting to new or tight deadlines.
    • Ability to develop and maintain positive interpersonal relationships both internally and externally.
    • Demonstrated initiative and commitment to work as a team member.
    • Dedication to delivering high quality customer service.

    PREFERRED QUALIFICATIONS

    • Bachelor's Degree with experience in a Foundation or nonprofit setting.
    • Advanced template creation and spreadsheet experience preferred.
    • Experience with relational databases and/or business intelligence software preferred.
    • Understanding of IRS regulations governing community foundation, charitable funds, scholarship award programs, and donor advised grants.

    • Work successfully with a variety of individuals with a variety of work and communication styles, both internally and externally.
